Executive Assistant to the Lead Pastor
Trinity is seeking a highly organized, trustworthy, and proactive Executive Assistant to support our Lead Pastor and administrative team. This full-time role manages calendars, communication, travel, leadership meetings, and key events while helping translate vision into well-coordinated action. The ideal candidate brings exceptional discretion, strong relational skills, and a service-minded ability to anticipate needs and keep many moving pieces working smoothly behind the scenes.

Payroll Status: Full-time, non-exempt
Reports to: Support Ministries Director

Duties & Responsibilities
Executive & Administrative Support
Calendar & Travel: Manage complex calendars, resolve scheduling conflicts, and arrange detailed travel logistics, including flights, lodging, and detailed itineraries.
Communication & Follow-Up: Monitor the Lead Pastor's email, track commitments from meetings and calls, and coordinate the preaching calendar.
Financial & Record Management: Process the Lead Pastor’s expense reports, track budget spending, and maintain organized records.
Operational Improvement: Research and recommend administrative tools and technologies to improve organizational efficiency.
Meeting & Event Coordination
Leadership Meetings: Serve as primary administrative support for monthly Vestry and bimonthly Leadership meetings, including drafting agendas, recording detailed notes, and tracking action items.
Event Logistics: Coordinate planning, scheduling, and administrative preparation for Lead Pastor events, including the annual Vestry and Senior Leadership retreats, quarterly staff events, biannual diocesan events, and biannual workshops.
Team Leadership
Staff Supervision: Direct, support, and provide feedback to Administrative Assistants.
Special Projects: Partner with the Support Ministries Director and Admin team on special projects and process improvements.
Skillset & Experience Desired

Experience: 5+ years of administrative support and project management experience supporting senior leaders.
Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and modern collaboration tools; able to learn and adapt quickly to new technologies.
Communication & Interpersonal: Exceptional verbal and written communication skills with a friendly, professional demeanor and strong emotional intelligence.
Discretion & Reliability: Demonstrated ability to handle sensitive information with a high degree of confidentiality, trust, and integrity.
Organization & Time Management: Highly organized and detail-oriented, with the ability to prioritize competing demands, manage multiple projects, and consistently meet deadlines with accuracy.
Proactive Problem-Solving: Self-motivated, pragmatic, and highly responsive, with the ability to anticipate needs, take initiative, and address challenges before they arise.
Leadership & Collaboration: Able to provide direction and support to administrative staff, build strong working relationships across teams, and collaborate effectively with senior leaders and ministry staff.
